Taking a Digital Photo

If your office is equipped with a digital camera, and you have activated the camera for use in Office Practicum, follow these steps to take a photo and attach it to the patient's records.

Tips for Application Use

Your digital camera ships with its own software, which contains a specific interface. Before scanning photos, follow the camera's instructions on how to capture and organize digital photos.

Capturing the Photo

  1. Click the Document Mgmt button to open the Manage Documents window.
  2. Click the New Document button to open the Image Acquisition window.
  3. Click the Camera button in the Acquisition Panel. This activates the digital camera. Your camera's own picture capture interface opens.
  4. Click the Snapshot button when the patient is ready.
  • Right-click on the Thumbnail and select Show Full Screen to expand a photo to full view.
  • Right-click on the Thumbnail and select Delete to delete a photo from the Sketch Panel.
  1. Click the Exit button.
  2. Drag the thumbnail from the Sketch Panel to the Thumbnails panel (or right-click on the Image in the Sketch Panel and select Copy from Sketch folder to Document).
  3. Click the Edit button and then use the Cropping Tool  to crop the image.

The photo and its properties can now be labeled/attached to the patient's chart.

Attaching the Photo to a Patient Chart

  1. Click the Patient Search button in the Document Details panel. The Patient Directory look-up window is displayed.
  2. Enter the Patient Name or ID Number in the lookup field and click the Search button. A list of matching patients is displayed.
  3. Double-click the Patient or click the Name and click the Select  button.
  4. In Review Details, select PHOTO ID from the Item Type drop-down menu. 
  5. (optional) Select an Item Category from the drop-down menu.
  6. Select the Reviewed checkbox.
  7. Click the Save button.  

Scanning the Photo

  1. Click the Document Mgmt button to open the Manage Documents window.
  2. Click the New Document button to open the Image Acquisition window.
  3. Click the Document Scan (scanner icon) button in the Acquisition panel. This turns on the scanner and opens the Scan Options window.
  4. Place the photo to be scanned face down on the scanner screen (we do not recommend feeding a photo into a page feeder).
  5. If you have a page-feed scanner, deselect the Feeder checkbox in the Scan Options window. This enables the system to scan from the scanner screen as opposed to the feeder.
  6. Click the Scan button.
  7. Once the photo has been scanned and is displayed in the Sketch Panel, right-click on a Thumbnail and select Copy from Sketch folder to Document.

The photo is displayed on the Thumbnail Panel.

Attaching the Photo to a Patient Chart

  1. Click the Patient Search button in the Document Details panel. The Patient Directory look-up window is displayed.
  2. Enter the Patient Name or ID Number in the lookup field and click the Search button. A list of matching patients is displayed.
  3. Double-click the Patient or click the Name and click the Select  button.
  4. In Review Details, select PHOTO ID from the Item Type drop-down menu. 
  5. (optional) Select an Item Category from the drop-down menu.
  6. Select the Reviewed checkbox.
  7. Click the Save button.  

Importing a Photo from a Digital Camera

If you would like to upload a photo from a digital camera without a Twain device or from a scan disk card that goes directly into the laptop:

  1. Plug your digital camera or put the card into your computer.
  2. Save the pictures from the camera or card on to the computer (perhaps in My Pictures).
  3. Click the Document Mgmt button to open the Manage Documents window.
  4. Click the New Document button to open the Image Acquisition window.
  5. Click the Input Image Files button.
  6. Choose the folder where you saved the pictures> My Pictures for example.
  7. Highlight the Picture you would like to import.
  8. Click the Open button(or double click on the photo). The photo is displayed in the sketch folder in the Input window.
  9. Right-click the Photo and select Copy from Sketch folder to Document.
  10. Click the Edit button.
  11. Click the Crop button  to crop the photo.

Capturing the Photo

  1. Click the Docs button in the Smart Toolbar to open the Manage Documents window.
  2. Click the New Document button to open the Image Acquisition window.
  3. Click the Photo Scan (camera icon) button in the Acquisition Panel. This activates the digital camera. Your camera's own picture capture interface opens.
  4. Click the Capture Picture button when the patient is ready.
  5. Most cameras will automatically take a series of snapshots. The snapshot or snapshot series is then displayed as thumbnails in the Sketch Panel.
  • To expand a photo to full view, right-click on the Thumbnail and select Show Full Screen.
  • To delete a photo from the Sketch Panel, right-click the Thumbnail and select Delete.
  1. Once you have found the best photo, drag the Thumbnail from the Sketch Panel to the Thumbnails panel (or right-click on the image in the Sketch Panel and select Copy from Sketch folder to Document).
  2. You can crop the image by clicking the Edit button and then using the using your Cropping Tool .
  3. The photo and its properties can now be labeled/attached to the patient's chart.

Attaching the Photo to a Patient Chart

  1. In the Document Details panel, click the Patient Search button. The Patient Directory look-up window will open.
  2. Enter the patient name or ID number in the lookup field and click on the Search button. A list of matching patients will appear.
  3. Double-click on the correct patient, or you can click on the name and then click the Select  button located at the bottom of the Patient Directory window. The Directory will close and the patient's name and ID number will be entered in the Patient Information field.
  4. In Review Details, click the Down arrow in the Item Type field.
  5. Select PHOTO ID from the drop-down menu. It is not necessary to enter a Category.
  6. Click the Save button.  The photo will now be attached to the patient's chart. When a patient has several photo IDs in the database, the most recent photo will appear on school and camp forms.

Scan the Photo

  8. The photo will appear on the Thumbnail Panel.

Attach the Photo to a Patient Chart

  1. In the Document Details panel, click the Patient Search button. The Patient Directory look-up window will open.
  2. Enter the patient name or ID number in the lookup field and click on the Search button. A list of matching patients will appear.

Importing a Photo from a Digital Camera

  3. Open OP 14.
  4. Click the Docs button.  The Manage Documents button opens.
  5. Click the New Document button.
  6. Click the Input Images button .
  7. Choose the folder where you saved the pictures> My Pictures for example.
  8. Highlight the picture you would like to import.
  9. Click open (or double click on the photo).
  10. The photo should now appear in the sketch folder in the Input window.
  11. Right-click the photo and select Copy from Sketch folder to Document.
  12. Click the Edit button.
  13. Click the Crop button .
  14. Crop the photo as you like.
  15. Enter the Patient ID Document Details Panel.  Enter the Patients Number located in the left Tools column (Items tab) by clicking on the ellipses button on the right side of the box.
  16. In Review Details, click the Down arrow in the Item Type field.
  17. Select PHOTO ID from the dropdown menu. It is not necessary to enter a Category.
  18. You do not have to choose a Category or the Status of Orig. Item, or the addressee.
  19. Select the Reviewed checkbox to record that the item has been reviewed.
  20. Click the Save button to save.
  21. Go to Patient Chart for that patient.  The picture should appear.
