About Choose a Vaccine Lot

Path: Practice Management tab > Manage Vaccine Inventory button > Borrow or Payback button

In Office Practicum, the borrow/payback function within the Vaccine Inventory acts as an accounting tool to be able to switch the vaccine to the opposite stock (VFC or Private).  Selecting this button opens the Choose a Vaccine Lot window.  This window moves vaccines from one lot to another in order to help your staff document your patient's chart accordingly. While in this window, highlight the vaccine, click on the Borrow or Payback button, set the number of doses to move to a new slot, and click the OK button. Once the borrow is complete, the newly created lot is left in the inventory until your new stock arrives.  When a new shipment arrives, you can return to this window to check your list and account for all vaccines that have been paid back.

Note:  If you noticed ahead of time that you are out of the certain stock, you can borrow preemptively and create a new lot with additional doses available for any other patient coming in for that vaccine while you wait for your new vaccine shipment to arrive.

Vaccine List
The Vaccine List displays the highlighted vaccine from the vaccine inventory.  This is the vaccine that will have a specified number of doses moved from one lot to another.  Keep track of the lot numbers.

Number of Doses in New Lot
The Number of Doses in New Lot field sets the available number of doses for the New Lot.  Increase the number of doses by clicking the + button to have additional doses available for any other patients that may come in before your new shipment arrives.  Decrease the number of doses by clicking the button.

OK button
Click the OK button to continue. The new inventory is now available to use. Administer the vaccine as you normally would.

Cancel button
Click the Cancel button to cancel borrowing or paying back vaccines.
