My Flu Clinic Is Not Working

If you are receiving the above error message on the Patient Portal "Bad Flu Clinic Configuration or No Flu Clinics Available" it is likely the result of minor configuration problems within OP. To troubleshoot, please check for the problems below.

  1. Check to see if the Flu Clinic start time is set-up correctly in the Schedule and Practice Workflow---Calendar. See screenshot above. In this example, we wanted the Flu Clinic to start at 12, so we would use the time slot for 11:45. Make sure that the duration is set properly so that the end time is the exact time you would want the clinic to begin. In this case, we wanted the Flu Clinic to begin at 12:00. The line below the appointment sets the parameters for the Flu Clinic. In this example, we would like 3 patients to be seen per 15 minutes. It is important to note that the Patient Portal looks for numerical values for these parameters. Using "one per fifteen minutes, one per 15 minutes, or 1 per fifteen minutes" all would not work Below is a screenshot of what the End of the Flu Clinic appointment looks like.
  2. Note: If your staff member name, (example: "Flu Clinic -- N3S 1 per 5 minutes") has numbers in it it will also cause a conflict as the portal will relate that to being 1 per 3 minutes!

  1. Navigate to your Encounter Template Builder (Utilities>Manage Forms>Encounter Template Builder>Nursing Visits) and open up 1 of the 3 templates you have made for the Flu Clinic. In this case, we selected "Flu Vaccine: 3+ years". Check to make sure that the appointment type it is linked to is something other than "Flu Clinic" and make sure this is set up the same way for the other templates . This is important because this is how the Patient Portal will be scheduling appointments into OP.

  1. Search the Schedule for all appointments named Flu Clinic. If there are any appointments other than the start and end appointments of the actual clinic then you should edit the additional appointments to reflect an appointment type exactly like the templates we referred to in step 2. Notice that an appointment for Mary Testpatient shows up in the search. This is a problem appointment which will need to be corrected. n this case we chose Nurse Visit so the manually scheduled appointment within OP reflects that just like scheduled Flu Clinic appointments from the Patient Portal would schedule. See screenshot below.

This is what the appointment looks like after the adjustments (see below).

If after these steps have been completed the error is not resolved on the Patient Portal please ask for the Portal Tech's assistance.
