Function:

OP 14 needs to allow Practices to select a preferred method of taking the temperature of patients under six months of age.

Solution:

Enhanced the software by allowing Practices to set the preferred method of taking the temperature of patients under six months of age. This enhancement copies the Default Method Used for Measuring Temperature options in the Medical tab (under the Special tab) of System Preferences and renames these options to indicate the age range they apply to:

  • Default Method Used for Measuring Temperature, Less than 180 Days of Age
  • Default Method Used for Measuring Temperature, Older than 180 Days of Age

Both settings offer the same options: Tym, Skin, Oral, Axil, TA, and Rect.

This enhancement also displays the newly named list of options in the Vitals/Growth tab of the Patient Chart, displaying the age-appropriate options based upon the age of the selected patient and defaults to the default method of measuring temperature set in System Preferences.

Audit Trail

Function:

OP 14 needs to maintain in the Audit Trail the history of Documented Consent for Healthix.

Solution:

Enhanced the software so that OP 14 maintains in the Audit Trail the history of Documented Consents. With this enhancement, OP 14 tracks Inserts, Updates, and Deletes for Documented Consent. The following is a definition of each of these Audit Trail events:

  • Inserts: The Consent Status of a record has been changed to a status other than “Not Documented.”
  • Updates: A record that has a Consent Status of other than “Not Documented” has been updated or the Start Date or End Date have been updated.
  • Deletes: A record that has a Consent Status of other than “Not Documented” has its Consent Status changed to “Not Documented.”  VERIFY ACCURATE 

Patient Register / Privacy 

Function:

When the end user changes the Consent Status for Healthix to Documented Consent or Documented Refusal, OP 14 needs to update the Start Date field automatically to reflect the current date.

Solution:

Enhanced the software so that, when the end user changes the status of the Consent Status for Healthix to Documented Consent or Documented Refusal, OP 14 automatically updates the Start Date field to reflect the current date. With this enhancements, the end user can change the date to a date earlier than the current date but not later than the current date.

This enhancement also changes the label of the Start Date field to Effective Date and the label of the End Date field to Expiration Date.

Patient Register / Privacy 

Function:

OP 14 needs to disable the End Date field for Healthix in the Documented Consent of Submission to Third Party section of the Privacy window.

Solution:

Enhanced the software by disabling the End Date field for Healthix in the Documented Consent of Submission to Third Party section of the Privacy window. With this enhancements, if the end user clicks in End Date field for Healthix, OP 14 does not display the dropdown calendar and displays a message indicating that an End Date is not allows for the selected third party.

Electronic Billing Center / Superbills 
Solution ID: 00009241

Function:

Some Practices have multiple Providers that see the same patient on the same day and use the same CPT Code. Currently, when the end user creates a Superbill for those Providers, if they use the same CPT Code OP 14 adds only one instance of that CPT Code to the Superbill.

OP 14 needs to allow multiple providers to create their own Encounters and to use the same CPT Code and to list each instance of that CPT Code and each Providers’ Encounter Notes in the Superbill.

Solution:

Enhanced the software so that the Superbill function in OP 14 supports multiple providers seeing the same patient on the same day and using the same CPT Code. The Superbill lists each Encounter as a separate line entry and maintains each Provider’s Encounter Notes. Also, when the end user attempts to post charges for multiple encounters with the same CPT Code, OP 14 displays the following warning message: “Warning. Selected superbill line items contain charges for multiple rendering providers ([names of providers]). OK to continue? Important charge details may be lost, or claim may fail to pay in full. Otherwise press [Cancel] and select a smaller group of related charges to post.”

Note: In accordance with CMS guidelines, insurance carriers may choose not to pay for two E/M office visits billed by a physician (or physicians in the same specialty in the same group Practice) for the same beneficiary on the same day, unless the physician clearly documents that the visits were for unrelated problems in the office or outpatient setting which could not be provided during the same encounter (for example, an office visit for blood pressure medication evaluation followed five hours later by a visit for evaluation of leg pain following an accident).

Issue:

OP 14 was not applying the correct highlighting colors for Overdue and Future tasks. OP 14 highlight tasks that are Not Started with red and Follow-up tasks with green. With this issue, OP 14 highlighted both tasks with white.

Resolution:

Updated the software to ensure that OP 14 correctly highlights tasks that are Overdue with red and Future tasks with green.

Electronic Billing Center / Adjudications 
Solution ID: 00010358

Issue:

For some Practices, OP 14 was not assigning the correct Match Status (as specified in the HIPAA Code Table) to Adjustment Codes. With this issue, OP 14 marked Adjustment Codes 193,165 and 27 as Matched when OP 14 should have marked them as Reviewed.

Resolution:

Updated the software to ensure that OP 14 assigns the correct Match Status (according to the HIPAA Code Table) to all Adjustment Codes.

Known Critical Issues

Forms / Patient Medical Reports Manager
Solution ID: 00010328

Issue:

When the end user attempts to print the School/Camp Form with the Do Not Show Signature on Camp Forms checkbox selected, OP 14 displays an error message and does not print the report.

Workaround:

If the end user deselects the Do Not Show Signature on Camp Forms checkbox before clicking the Print button, OP 14 prints the form successfully.
