OP Notify: Appointment Reminders Reports

Overview

Reports are available to indicate the results for the appointment reminders that were sent to patients for a specific date range. These reports can be filtered by facility, location, event name, delivery method, and result. The results indicate the percentage of messages that were confirmed, cancelled, went to voice mail, went unanswered, and had no response. Further, the reports specifies the patients to whom the messages were sent along with the delivery method of the message and the result. This can be useful for determining how to deliver reminders to specific patients in the future.

Running an Appointment Reminder Notification Report

To run a Reminder Response report:

  1. Access OP Notify using the email address and password set up when you activated your account
  2. Click Reports on the Navigation Panel.
  3. Select Notification Reports. The Report List appears.

  1. Look for PatientNOTIFY Appointment Reminders and click the Run Reports button. The PatientNotify Appointment Reminder report filter page displays.

  1. Complete one or both of the date filters (required).

  1. Enter information for the other filters in the filter field (optional):
  • Location: The Facility/Location where the appointment reminders referenced. Select the Facility Name/Location in the drop-down list.
  • Event Name: The name of the appointment reminder. Select the Event Name in the event drop-down list.
  • Method: The name of the method by which the reminder was sent. Select Call, Email, or Text in the drop-down. Mail is not available as a delivery method at this time.
  • Result: You can filter by the result of the reminder after it was sent, click the drop-down and select from the list.
  1. Click the Run Report button. The results of the report based on the filters selected will appear in the Results grid below.
  2. If you wish to export the filtered results to Excel, click Export and select Excel.

  1. Follow the practice workflow to update the appointments in OP.

Running a Reminder Response Report

To run a Reminder Response report:

  1. Access OP Notify using the email address and password set up when you activated your account
  2. Click the Reports arrow in the left menu.
  3. Select Notification Reports. The Report List appears.

  1. Look for the Appointment Reminder Reports.

  1. Click the Run Reports button. The PatientNotify Appointment Reminder report filter page appears (shown below).

  1. Complete one or both of the date filters (Reporting Period, Event Date) in the Filter field. This must be done in order to run a report.

  1. (Option) Enter information for the other filters in the filter field:
  • Location: The Facility/Location where the appointment reminders referenced. Select the Facility Name/Location in the dropdown list.
  • Event Name: The name of the appointment reminder. Select the Event Name in the event dropdown list. The name should match the name entered into the Event Name field when the message was created.
  • Method: The name of the method by which the reminder was sent. Select Call, Email, or Text in the dropdown. Mail is not available as a delivery method at this time.
  • Result: You can filter by the result of the reminder after it was sent (Cancelled, Confirmed, No Response, Voicemail, Unanswered).
  1. Click the Run Report button. The results of the report based on the filters selected will appear in the Results grid below.
  2. If you wish to export the filtered results to Excel, click Export and select Excel.

  1. Follow the practice workflow to update the appointments in OP.
