Checking in a Patient

Overview

You will learn how to check in a patient in this article. This involves verifying patient demographics, insurance, and copay collection.

Checking in a Patient 

  1. Access the Calendar Schedule window by following one of the paths above.

  1. Locate the patient that is ready to check in and click the patient name.

  1. Click the Patient Chart button from the Clinical, Practice Management, or Billing tab.
  2. Click Basic Information in the Demographics section of the Window Navigation Panel.
  3. Verify the patient’s demographic information. Make edits directly in the chart as necessary. 
  4. Click the Save button.


If your office is going for Meaningful Use -
Ask the patient or guardian for the Meaningful Use fields, as required by the federal government to meet Meaningful Use Guidelines for the office.
  1. Click Family Contacts in the Demographics section of the Window Navigation Panel. Verify the contacts demographic information. To add a contact, see Add relatives or contacts to a patient's register record.

If your office is going for Meaningful Use -
Ask the Contact or Guardian for the Meaningful Use fields , as required by the federal government to meet Meaningful Use Guidelines for the office.
  1. Click Insurance in the Account section of the Window Navigation Panel. Verify the Insurance information. To add an Insurance, see Create a new insurance record.

  1. Click the button to close the Patient Chart.
  2. On the Calendar window, double-click to open the Add/Edit Appointment window.
  3. Select a Presenter from the drop-down menu.
  4. Select a Visit Status from the drop-down menu. When a visit status is selected the Arrival time updates.
  5. If a co-pay is collected for this visit, see Enter a Copay.
  6. Click the Save button on the Add/Edit Appointment window.

If a payment was collected at check in, the patient's appointment has CoPaid stamp.

  1. Click the Schedule button .
  2. Click the Calendar tab .

  1. Locate the patient that is ready to check in and click the patient name to highlight it.

  1. Click the Register button.
  2. Verify patient’s demographic information on the Patient Tab. Make edits using the Edit Pencil button as necessary. 
  3. Click the Green Checkmark button to save the changes..

  1. Click the Contacts tab. Verify the contacts demographic information. To add a contact, see Add relatives or contacts to a patient's register record.

Patient Register: Insurance Tab

  1. From the Calendar tab, double-click to open the Add/Edit Appointment window.
  2. Select the Presenter (who brought the patient in) from the drop-down menu.
  3. Select Waiting Room from the Visit Status drop-down menu.
  4. Click the Credit Card button  to collect the patient's copy (if necessary).
  5. Select a Pay Method from the drop-down menu.
  6. Click the Save/Post button.

  1. Click the Save button.

Add/Edit Appointment: Check In

The patient's appointment should have a  stamp on the appointment slot (if a payment was collected at the time of service), and aYellow background, which means that the selected patient is in the Waiting Room, an indication for the Clinical staff that there are patient's ready to go back to a room.
