About Patient Encounter: Immunizations

Path: Clinical, Practice Management, or Billing tab > Patient Chart button > Encounter > New or Open Note button > Immunizations

The Immunizations window displays the patient's immunization record. Here you can print the immunization grid or the complete list of immunizations from a patient’s chart. Historical vaccines can also be entered in the Immunization window. This section of the Encounter Note is chart-driven, meaning that the information populated here is pulled from and pushed back to the same section in the Patient Chart.

Immunizations buttonThe Immunizations button accesses the Immunizations window in the patient's Encounter Note.

Encounter Function buttonsThe Function buttons delete an entire Encounter Note, edit an Encounter Note, or save an Encounter Note.

Flag as Incomplete checkboxThe Flag as Incomplete checkbox marks the Encounter as unfinished.

Immunizations tabs
  • The Forecast tab displays the grid view of immunizations that the patient should be given. Registry consents and plan histories can be accessed from this tab.
  • The Complete List tab displays the complete list of immunizations given to the patient. This tab provides a detailed grid for each vaccination.
  • The Status Indicators tab assigns a status indicator to a vaccine group for the patient. The status indicators can be assigned to each vaccine group by specifying why it should be processed by alternate forecasting rules.
  • The Notes tab provides a space to apply notes (allergies and past adverse reactions will populate here) you can use the Confidential box to add additional information on the vaccination, such as refusals, concerns, etc.
  • The Forecast Key tab provides a detailed explanation for the codes used in the Forecast tab.

Quick Entry buttonThe Quick Entry button is used to enter vaccine documentation when it is necessary to update a vaccine administered outside the office or prior to the vaccine inventory being used to document vaccines given by the Practice.

Consent Form buttonThe Consent Form button allows you to review or sign an immunization consent document.

The Patient Encounter helps to code and complete an encounter visit.  The encounter note encompasses both narrative and comprehensive formats. It also allows you to customize the layout of the note.  The note is added to the patient chart.

The Immunizations tab displays the patient's immunization record. Here you can print the immunization grid or the complete list of immunizations from a patient’s chart. Historical vaccines can also be entered in the Immunization tab.

Encounter Note Editor tabs

The Patient Encounter Note Editor contains the following tabs:

Care Plans tabThe Care Plans tab lists, prints, and manages care plans for a patient’s health maintenance schedule.

Visit DateThe Visit date field indicates the date that the patient encounter occurred.

Prior Notes tabThe Prior Notes tab lists the previous encounter notes and messages.

Templates tab

The Templates tab lists the templates that are created, edited, and reviewed in the Encounter Templates Editor. Templates are pre-written scenarios you can use in an encounter to document common pediatric diagnoses. Templates include detailed descriptions for the usual pertinent positive and negative findings of a wide variety of illnesses, with a standard assessment, plan and ICD-10 coding. Included with your installation of Office Practicum are Pediatric specific templates.
