Scan Insurance Cards

This page will instruct you on how to scan insurance cards using a card scanner.

Insurance cards can only be scanned on a workstation connected either to a card reader or document scanner.

Scanning the Card using a Card Scanner

  1. Click the Docs button on the smart toolbar to open the Document Management window.

  1. Click the New Document button.
  2. Insert a card into the card scanner.
  3. Click the Card Scan button .  This will activate your card scanner.  A scan options window (on your scanner's own scanning interface) will open.
  4. Click the Scan button to scan the card.
  5. Repeat to scan the other side of the card (if needed).
  6. Images of both sides of the card will appear as thumbnails in the Sketch Panel.
  7. Skip to Labeling the Card below.

Scan the Card using a Document Scanner

  1. Click the Docs button on the smart toolbar to open the Document Management window.

  1. Click the New Document button.
  2. Place the card onto the document scanner.
  3. Click the Document Scan button .  The Twain interface must be enabled via the Use radio button in the Twain Use/Hide field below the device icon buttons. 
  4. The scanner will activate and the Scan Options window will appear.
  5. Click the Scan button located in the lower-right corner of the Scan Options window.  The card will be scanned. 
  6. Repeat with the reverse side of the card (if needed).
  7. Images will appear in the Sketch panel.  Follow the direction in Labeling the Card to label the card.
  8. Attach the images to a patient's chart by moving the images from the Sketch panel to the Thumbnail panel. 

Labeling the Card

  1. Select the image in the Sketch panel.
  2. Move the page or pages to the Thumbnails panel.
  3. Select the patient by searching for the Patient ID in the Document Details Panel.
  4. Select the Insurance from the Item Type dropdown.
  5. Select ID Card in the Item Category.
  6. Click the reviewed checkbox.
  7. Under Administrative Details in the Document Details panel, select In Patient's Chart in the Status of Original field (this is optional).
  8. Click the Save button.
