Sick Visits (Privacy)

Overview

How to mark the privacy of a sick visit depends on whether or not the visit note has been finalized.

  • Finalized notes: Privacy can be set for the entire sick visit in the Encounter Summary Sheet window.
  • Unfinalized notes: Privacy can be set in the Summary section of the encounter note.

Additionally, the visibility of the Counseling section of an unfinalized note can also be marked. 

Setting Privacy from the Encounter Summary Sheet (Finalized Note)

To set the Privacy for a sick visit from the Encounter Summary Sheet (finalized note):

  1. Access the patient's Chart.
  2. Select the Encounters tab.
  3. Select the Encounter Note and click Open Note.  The Encounter Summary Sheet window appears.
  4. Select the Visibility dropdown. The visibility level of Any Staff Member (shown below) includes the visibility on the portal.  To hide an item from being visible on the portal, select Clinical Staff Only (includes clinical staff plus providers) or higher in the Visibility dropdown.

Setting Privacy from the Summary Section of the Encounter Note (Unfinalized Note)

To set the Privacy for a sick visit from the Summary section of the Encounter note:

  1. Access the patient's Chart.
  2. Select the Encounters tab.
  3. Select the Encounter Note and click Open Note.  The Patient Encounter window appears.
  4. Click the Summary tab.
  5. Select the Note Visibility dropdown. The visibility level of Any Staff Member (shown below) includes the visibility on the portal.  To hide an item from being visible on the portal, select Clinical Staff Only (includes clinical staff plus providers) or higher in the Note Visibility dropdown.

Setting the Privacy for the Counseling Section of the Unfinalized Sick Visit

  1. Access the patient's Chart.
  2. Select the Encounters tab.
  3. Select the Encounter Note and click Open Note.  The Patient Encounter window appears.
  4. Click the Couns/CoC tab.
  5. Select the Visibility dropdown. The visibility level of Any Staff Member (shown below) includes the visibility on the portal.  To hide an item from being visible on the portal, select Clinical Staff Only (includes clinical staff plus providers) or higher in the Visibility dropdown.
