Here is a high-level description of each of the new Patient Portal features! Each section contains Resources that provide more detailed information.
Important: The features below require back-end configuration by the OP Implementation team. While they are visible in OP and the Practice and Patient Portals, they will not function as intended until that configuration is complete. There is no action required by the practice. Your practice will be contacted when the features have been configured for use.
Send OP (Internal) Surveys to the Patient Portal
OP Surveys are sent to the InteliChart Patient Portal when:
- An appointment scheduled using a Visit Template with the Survey as a "Standing" order is marked “Confirmed”. This includes same-day appointments that are auto-confirmed.
- A task for a Survey is sent to the Patient department. This trigger requires that the OP user creating the task has an active account in the Practice Portal.
For either of the triggers above, the Survey being sent must have a visibility level of Any Staff Member and the patient must have an InteliChart Portal account. If these criteria are not met, the Survey message is not sent to the portal and the OP user is notified by message that the survey failed. The portal account holder is notified of a new Survey via a secure Message in the portal. The message includes a link to the Patient Survey and a Pin code that is required to access the survey. After completing the survey and clicking the Submit button, the Survey responses are automatically sent to OP and displayed in the Patient Chart.
Send CHADIS Surveys to the Patient Portal (CHADIS subscription required)
CHADIS Surveys are sent to the InteliChart Patient Portal following the same triggers and criteria as OP (Internal) Surveys, described above. The Survey Message does not include a Pin code for CHADIS surveys. Instead, the parent/guardian must enter some basic information to be taken to the CHADIS portal to complete the survey. Upon submission, the Survey responses are automatically pulled into OP. There is no longer a need to fetch results. CHADIS pushes the results to OP as soon as they are available. The CHADIS button located in the Surveys window takes the user directly to the patient’s CHADIS record for a complete view.
Receive Document Requests from the Patient Portal
Practices have the ability to allow parents/guardians to request Documents from the Patient Portal. These requests are received in OP as secure Messages to practice staff defined by a Message Group created in the Practice Portal. A list of Requestable Documents is established in the Practice Portal, available for selection by the parent/guardian. If the practice chooses not to make a list of Requestable Documents available, the requestor is taken to the Secure Message window in the Patient Portal where they can simply compose a message detailing their specific Document need.
Share Documents to the Patient Portal
Documents from several areas of OP are sharable to the Patient Portal by selecting the Share to Portal checkbox. Each Document shared to the portal also permits the user to select an Expiration Date for the Document. This date is populated based on the number of days selected as the default in the Portal tab of the Global Preferences window. In order for Documents to be shared to the portal, the Document must have a visibility level of Any Staff Member and the patient must have an InteliChart Portal account. When a Document is shared, the portal account holder is notified of a Document to Review via a secure Message in the portal. Documents shared to the portal are displayed under My Chart > Documents. Practices that utilized the former OP Patient Portal have the ability to migrate documents, in bulk, to the InteliChart Patient Portal using the Bulk Migration Tool.
New Patient Self-Registration on the Patient Portal
Practices have the ability to allow new patients/families to be registered for the practice via Self-Registration on the InteliChart Patient Portal. This workflow requires that the practice has established a Custom URL. When a Self-Registration is completed, a secure Message is sent to practice staff in OP who have been added to the New Registration department, a new department in OP. The practice staff proceeds by accessing the patient’s chart, saved with a Waiting List status, and completing the registration.
Important: Portal Registration without a PIN is no longer available to existing patients of the practice. Early adopters of the InteliChart Patient Portal that allowed existing patients to register without a PIN must plan to modify their workflow to include issuing registration PINs to existing patients.
Live Scheduling on the Patient Portal
Practices have the ability to enable Live Scheduling on the InteliChart Patient Portal. Live Scheduling requires setup items to be completed in both OP and the Practice Portal. Practices have two options, based on their setup, in regards to allowing Live Scheduling:
- They can choose to allow patients/parents/guardians to select specific time slots and schedule themselves directly on the practice calendar in OP.
- They can choose to allow patients/parents to select a specific time slot and request an appointment be made for them by the practice staff. These requests are sent to the IC Appointment Request department in OP.
Important: Early adopters on the InteliChart Patient Portal must revisit their setup for Appointment Requests. The Generic Appointment Request functionality is only available until Live Scheduling is enabled.
